The lawful bases for processing your personal data

Under UK data protection law, we must have a lawful basis for collecting, using and storing your personal data. Depending on the circumstances, we may rely on one or more of the following lawful bases.

Contract

We may process your personal data where it is necessary to provide a product, service, event, report, briefing, membership, meeting or other activity you have requested, or to take steps at your request before providing it.

This may include registering you for an event, giving you access to a report, responding to an enquiry, managing a booking, providing customer service or sending service-related communications.

Consent

We may process your personal data where you have actively agreed to a specific use of your information.

This may include, for example, where you agree that we may share your contact details with selected sponsors or partners so they can follow up with relevant information, insights and opportunities.

You can withdraw your consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.

Legal obligation

We may process or disclose personal data where we are required to do so by law, regulation, court order, tax obligation, law enforcement request or other legal requirement.

Legitimate interests

We may process your personal data where we have a legitimate business interest, provided that our interests are not overridden by your rights, freedoms and interests.

We may rely on legitimate interests to:

  • manage our events, communities, websites and services;
  • maintain relationships with professional contacts in the public sector and supplier community;
  • send relevant business-to-business communications about our products, services, events, reports, briefings and content;
  • respond to enquiries and manage business relationships;
  • identify professional contacts who may be interested in our work;
  • personalise and improve our communications, websites and services;
  • understand engagement with our content and events;
  • manage event attendance, audience analysis and sponsor reporting;
  • share limited attendee information for event planning and delivery purposes;
  • carry out business development, advertising and sales activity;
  • protect the security and integrity of our systems;
  • keep records of objections, unsubscribes and suppression requests;
  • support a business sale, investment, merger, acquisition or restructuring.

You have the right to object to processing based on legitimate interests. You also have an absolute right to object to direct marketing at any time.

How we use your personal data

We use personal data for the purposes set out below.

Providing products, services, content and events

We use your personal data to provide products, services and activities you request from us.

This may include:

  • registering you for events;
  • providing access to reports, briefings, webinars, videos or other resources;
  • sending confirmation emails, joining instructions, calendar holds or service updates;
  • managing attendance, badges, access, dietary needs and reasonable adjustments;
  • responding to enquiries;
  • arranging meetings;
  • managing community or network participation;
  • providing customer service;
  • administering sponsorship, partnership or speaker arrangements;
  • sending follow-up materials related to a product, content item or event.

Conferences, meet-ups, roundtables, webinars and workshops

When you register for or attend one of our conferences, meet-ups, roundtables, webinars, workshops or other events, we use your personal data to plan, manage and deliver the event.

This may include:

  • processing your registration;
  • confirming your attendance;
  • sending joining instructions and event updates;
  • managing badges, check-in and access;
  • arranging catering, dietary requirements and reasonable adjustments;
  • tailoring content to the audience;
  • facilitating networking and discussion;
  • managing speaker, sponsor and partner involvement;
  • producing attendee analysis and aggregated event reporting;
  • following up after the event.

If you are making a group booking or registering someone else, you must ensure that you have permission to provide their personal data to us and that they are aware of this Privacy Policy.

Event attendee information

For some events, we may share limited attendee information with sponsors, partners, venues, event suppliers, speakers, moderators or other participants where this is necessary and appropriate for event planning, delivery, networking or audience analysis.

This may include your name, job title, organisation and, where relevant, professional interests or registration selections.

We will not share your contact details with sponsors or partners for their own follow-up marketing unless we have told you this may happen and have a lawful basis to do so. In most cases, where sponsor or partner follow-up is involved, we will ask for your consent.

Sponsored content, sponsors and partners

Some of our reports, webinars, conferences, meet-ups, roundtables, workshops, briefings and other resources are supported by sponsors or partners.

Where you register for or access sponsored content or a sponsored activity, we may tell you who the relevant sponsor or partner is and explain what personal data may be shared with them.

With your consent, we may share your contact details and relevant registration information with selected sponsors or partners so they can follow up with relevant information, insights and opportunities connected with the content, event or activity you registered for or accessed.

Where we share attendee information with sponsors for event planning, audience analysis or delivery purposes, we will limit this to what is necessary and appropriate.

We will aim to make clear at the point of registration or data collection whether your details may be shared with a sponsor or partner, what information may be shared, and what choices are available to you.

Networking and introductions

Some of our events and communities are designed to support networking, discussion and professional introductions between public sector attendees, sponsors, partners, speakers and other participants.

Where an event, meeting, roundtable, discussion group or networking activity is designed to facilitate introductions, we may use your personal data to support those introductions.

This may include sharing your name, role, organisation, professional interests or contact details with relevant participants, sponsors or partners where you have agreed to this or where it is otherwise clear from the context and lawful for us to do so.

Where sponsor or partner follow-up involves the use of your contact details for their own marketing or business development purposes, we will normally seek your consent.

Recordings, photography, transcripts and event outputs

We may record, photograph, film, livestream, transcribe or summarise our events, webinars, workshops, roundtables, interviews and meetings.

This may include audio, video, photography, written notes, transcripts, chat messages, Q&A contributions, survey responses, live illustrations, AI-assisted summaries and other event outputs.

We may use these materials to:

  • deliver the event or content;
  • provide post-event materials to attendees;
  • create editorial content;
  • produce reports, briefings, summaries or insight documents;
  • support sponsor or partner deliverables;
  • promote future events and services;
  • maintain internal records;
  • improve our products and services.

This is most likely to affect speakers, panellists, moderators, workshop contributors, interviewees and delegates who ask questions or make contributions. General audience members may appear incidentally in photographs or video footage.

Where appropriate, we will provide notice at the event or point of registration. If you have concerns about being recorded, photographed or quoted, please contact us or speak to a member of the event team.

AI-assisted tools

We may use AI-assisted tools to help us transcribe, summarise, organise, analyse or repurpose meeting, event, webinar, survey, interview or discussion content.

These tools may be used to support editorial production, event reporting, sponsor deliverables, internal planning, customer service, sales administration, marketing activity and service improvement.

Where we use third-party AI or automation tools as service providers, we will take appropriate steps to ensure they process personal data only on our instructions and subject to appropriate contractual, security and confidentiality safeguards.

We do not use automated decision-making that produces legal or similarly significant effects for individuals. We may use automation to segment audiences, prioritise communications, personalise content or understand engagement, but you can object to direct marketing and profiling related to direct marketing at any time.

Marketing communications

We may use your personal data to send you relevant business-to-business communications about GovX Digital Ltd, Government Transformation Magazine, our newsletters, reports, briefings, webinars, events, communities, partner activities, products and services.

When we collect your personal data, we will provide information about how it may be used for marketing and what choices are available to you.

We may send marketing communications where:

  • you have given consent;
  • you have requested information from us;
  • you have registered for or attended one of our events;
  • you have accessed one of our resources;
  • you are a relevant professional contact and we have assessed that we have a legitimate interest in contacting you;
  • another lawful basis applies.

You can stop receiving marketing communications from us at any time.

Every marketing email we send will include an unsubscribe link or clear instructions on how to opt out. You can also contact us directly at info@govx.digital.

Personalisation and audience analysis

We may use personal data to make our communications, content and events more relevant to you and to the organisations we serve.

This may include using your role, organisation type, seniority, policy area, professional interests, previous registrations, content downloads, email engagement, website activity or survey responses to:

  • tailor invitations and recommendations;
  • identify relevant content, events or services;
  • understand audience needs and priorities;
  • improve our editorial, conference and partnership activity;
  • provide aggregated or anonymised insights to sponsors, partners or internal teams.

We may provide sponsors or partners with aggregated audience information, such as the types of organisations, roles or themes represented at an event or in a report audience. Where information is aggregated or anonymised, it will not identify you personally.

How to stop receiving marketing communications

You can object to direct marketing from us at any time.

You can do this by:

  • clicking the unsubscribe link in our marketing emails;
  • replying to a marketing email and asking to be removed;
  • emailing info@govx.digital with the subject line “Stop Marketing”;
  • telling us during a phone call that you do not want to receive further marketing calls.

If you ask us to stop marketing to you, we may keep a minimal suppression record so that we can honour your request and avoid contacting you again for marketing purposes.

Please note that opting out of marketing does not prevent us from sending service communications that are necessary for products, services or events you have requested, such as registration confirmations, joining instructions, event updates, access links or important administrative messages.

Sharing your personal data

We may share your personal data with other organisations where this is necessary, lawful and appropriate.

This may include sharing personal data with:

  • sponsors and partners, where this has been explained to you and we have a lawful basis to do so;
  • venues and event suppliers;
  • webinar, event and registration platforms;
  • email, CRM, analytics and marketing technology providers;
  • website, hosting and cloud software providers;
  • payment, finance and accounting providers;
  • professional advisers, including lawyers, accountants and insurers;
  • photographers, videographers, transcription providers, moderators, facilitators and production suppliers;
  • auditors, verification providers or industry bodies;
  • public authorities, regulators, law enforcement bodies or courts where required;
  • potential buyers, investors or advisers in connection with a business sale, investment, merger, acquisition, restructuring or transfer of assets.

We require service providers that process personal data on our behalf to process it only on our instructions and to apply appropriate security and confidentiality measures.

Sponsors and partners as independent controllers

Where we share your contact details with a sponsor or partner so that they can follow up with you, that sponsor or partner may act as an independent controller of your personal data.

This means they are responsible for how they use your personal data after receiving it. Their own privacy notice will apply to their use of your information.

We encourage sponsors and partners to handle personal data responsibly and to comply with applicable data protection and direct marketing laws.

Legal disclosure

We may disclose personal data where we are required to do so by law, regulation, legal process, court order or lawful request from a public authority.

We may also disclose personal data where necessary to establish, exercise or defend legal claims, protect our rights, protect the rights of others, prevent fraud, protect security or respond to an emergency.

Changes to our company

If GovX Digital Ltd is involved in a merger, acquisition, investment, restructuring, sale of assets or other business transition, personal data may be transferred to another organisation as part of that process.

Where this happens, we will take appropriate steps to protect your personal data and ensure it continues to be handled lawfully.

Protecting children

Our websites, products, services, events and communities are intended for professional adult audiences and are not designed for children.

We do not knowingly send marketing communications to children.

If you are a parent or guardian and believe we may be processing personal data relating to a child, please contact us.

Under data protection law, you have a number of rights in relation to your personal data.

These rights may include the following.
